GSA Fleet Card

You can pay for fuel and maintenance for your GSA Fleet-leased vehicle with the Wright Express, Inc.® (WEX) Fleet Mastercard. The GSA Fleet WEX card is accepted at over 180,000 fueling and maintenance sites in all 50 states, U.S. territories, and Canada. Every vehicle you lease through GSA Fleet has a corresponding WEX card.

GSA Fleet Card Acceptance

The GSA Fleet WEX card is accepted at over 180,000 fueling and maintenance sites in all 50 states, U.S. territories, and Canada.

Upon request, GSA will send you a ChargePoint scan card. You can use this card to charge publicly at any public station operating on the ChargePoint network. The energy consumption data is recorded by vehicle tag and published along with your other fueling transactions in the GSA Fleet Drive-thru fuel usage report (FUR).

You can use your GSA Fleet card to activate DLA-capitalized pumps at military installations in CONUS/Stateside and in Europe.

Each agency is responsible for issuing a Fleet card task order. In addition to GSA Fleet, the Departments of Commerce, State, and Homeland Security have all chosen WEX as their fleet card. Using the GSA Fleet Card

Each GSA Fleet vehicle has a corresponding GSA Fleet card. The seven-digit vehicle tag number is embossed on the face of the card (Ex. G12-3456A).

If you need assistance to find your PIN or driver ID contact your local Fleet Service Representative (FSR).

Each GSA Fleet card has a dollar limit based on the tank capacity of the vehicle. Pumps have dollar limits built into their software that card providers cannot override. Fleet card providers work with merchants to determine the pump shut off limits as fuel prices change.

If your card is lost, stolen, compromised, or broken, contact your agency vehicle coordinator to order a replacement. You can order replacement cards online by logging into the GSA Fleet Drive-thru website. After logging in, select "Fleet Card Replacement Ordering" from the main menu page under the "Vehicle Fleet Data" section. Verify that the default shipping address is correct. Because orders are sent via overnight shipment, you must provide a physical shipping address and not a P.O. address. Replacement card(s) will arrive within 1-2 business days from the time of order. If you are unable to purchase vehicle services with the Fleet card, call WEX at the number on the back of the card, 866-WEX-4GSA (866-939-4472) and they will supply the merchant with an alternate payment over the phone. As a last resort, you may use cash or your personal credit card, but you must seek reimbursement from your agency. Your agency must contact GSA Fleet for reimbursement. GSA Fleet will issue a credit to your agency’s monthly vehicle bill.

Some gas merchants set dollar limits for purchases at customer-activated pumps when payment cards are used. If you hit the station limit but still need more fuel, you can begin a second transaction at the pump to finish filling.

Card Use During a Government Shutdown

Your GSA Fleet card will continue to function as normal when there is a government shutdown, unless there are agency-specific requests to disable the cards. Check with your agency regarding the use of both GSA Fleet-leased vehicles and Fleet cards due to appropriation limitations during a shutdown. You may not be authorized to use your card if your agency has determined you are not an exempt employee during the shutdown.

In accordance with the Federal Acquisition Regulation (FAR 13.301), you are authorized to use your GSA Fleet card for the purchase of fuel, maintenance, and repair of government owned and operated motor vehicles. A GSA Fleet card is issued to a specific vehicle and should only be used for the corresponding vehicle. The leasing agency is the government’s agent for each purchase made with the GSA Fleet card and is responsible for each transaction. The agency is also responsible for ensuring compliance with applicable GSA Fleet and agency regulations and procedures.

Authorized Transactions:

  • Regular unleaded, self-service fuel
  • Immediately consumable items (e.g., a quart of oil or washer fluid)
  • Required preventative maintenance
  • Car washes (not to exceed regional policy)
  • Mechanical repairs

Unauthorized Transactions:

  • Use of card for any vehicle other than the one imprinted on the card
  • Premium or full-service fueling (unless required by state law)
  • Convenience store items such as maps, air fresheners, food, etc.
  • Over-maintenance of the vehicle (ONLY purchase maintenance authorized by GSA Fleet)
  • Excessive car washes or details
  • Purchases at parts stores

Maintenance and After Hours Needs

For maintenance under $100
Merchants can either electronically accept the WEX Fleet card or call in the transactions to 866-WEX-4GSA (866-939-4472) to receive a MasterCard number.

For maintenance over $100 or for any accident damage
Merchants must contact GSA Fleet for authorization prior to doing the work at 866-400-0411.

You can obtain roadside assistance through the following methods, which are listed in preferred order:

  • During business hours, contact the Maintenance Control Center (MCC) at 866-400-0411 and select option 1.
  • If the vehicle is under manufacturer warranty, contact the manufacturer’s roadside assistance program.
  • If you need a tow after normal business hours and the vehicle is not under warranty, contact WEX to coordinate roadside assistance. Use the toll-free number listed on your GSA Fleet card. On the next business day, contact the MCC or your Fleet Service Representative (FSR) to inform GSA Fleet of the location of your vehicle so we can expedite repairs. You can avoid unnecessary “unauthorized purchase” charges on your agency’s monthly GSA vehicle invoice by promptly informing us of any after-hours roadside assistance events.

Locations Outside of the Continental U.S.

If you are a GSA Fleet customer located in Puerto Rico, you will be issued a Total Fleet Card for fuel and car washes at participating Total fuel stations. If you are a GSA Fleet customer located within the U.S. Virgin Islands and American Samoa, you will be issued a MasterCard exclusively for fuel purchases. For further assistance with fuel cards, contact your Fleet Service Representative (FSR).

You can use your WEX fleet card, included with each GSA Fleet-leased vehicle, to turn on installation pumps nationally. The Defense Logistics Agency (DLA) uses WEX fleet cards to activate DLA-capitalized pumps at military installations in European countries where GSA Fleet Europe offers full-service rates. You can also coordinate with GSA Fleet to obtain reimbursement for tax-free, off-post commercial fuel in full-service area host nations, which is available via Army Air Force Exchange Service (AAFES) or Navy Exchange (NEX) cards or coupons. Short Term Rental (STR)

When submitting a Short Term Rental (STR) request online, you can request a Fleet card through the STR program. We will ship fuel card(s) to the designated rental point of contact via overnight trackable shipping. We process fuel cards up to 10 days before the rental start date, or as soon as you select a vendor if the request begins in less than 10 days.

Fleet cards for STR vehicles are not tag-specific. However, each fuel card has a unique account number and includes the rental request and sequence number.

The rental request and sequence number appear on each vehicle record in the card contractor electronic access system (EAS). All STR fuel charges are billed as an agency-incurred expense (AIE) based on the rental request number.

Information for Vendors

For all fuel, service, and maintenance transactions under $100: If your credit card machines accept WEX cards, simply swipe the card and follow the instructions. If you are unable to accept the WEX card directly, call the number on the back of the card and you will be given a MasterCard number over the phone. If you don’t accept credit cards, sign up for Automated Clearing House (ACH) or direct deposit into your bank account. For service and maintenance transactions over $100, prior to performing work, you must contact the GSA Maintenance Control Center (MCC) or Accident Management Center (AMC) at 866-400-0411.

You can easily identify GSA Fleet vehicles by the license plate and payment method. License plates on GSA Fleet-owned vehicles have a G preceding the alphanumeric sequence. If you encounter a GSA Fleet vehicle without a GSA license plate, ask the driver to provide the GSA Fleet service card. The vehicle tag number is located in the lower left corner of the card. If the vehicle has GSA tags, make sure the vehicle tag number matches the number listed on the GSA Fleet service card.
